  • Client details — Company name, billing address, and the name of the person who approves payment.
  • A unique invoice number — Sequential works fine: INV-001, INV-002. Some freelancers prefix the year or client code, like 2026-ACME-004.
  • Invoice date and due date — State both clearly. "Net 30" means nothing if the issue date is buried or missing.
  • Itemised line items — Description, quantity, rate, and subtotal for each service. "Web design — $3,000" is not enough. Break it into phases or deliverables.
  • Total amount due — Including any tax, discounts, or deposits already paid.

Double-check spelling and use the exact legal entity name. An invoice addressed to "Dave" when accounts payable needs "Acme Corp Ltd" will sit in a queue.

5. Itemise the Work

If you charge sales tax or VAT, show the rate and amount as a separate line. Then display the grand total prominently — it should be the largest, boldest number on the page.

7. Include Payment Details and Notes

List every accepted payment method with the details the client needs to send money. Add a brief note about late-payment penalties if your contract includes them.

  1. No invoice number. Accounting departments need a reference to process payment. No number, no tracking.
  2. Vague descriptions. "Consulting services — $5,000" invites questions. Specific line items get approved faster.
